We hope that you have had a wonderful holiday season! As we go in to the New Year, we wanted to reach out and give you a quick update on our office. Over this last year, we have grown in many ways. We have established more patients this year than the year prior, new employees, and Dr. Monica recently purchased the building with
plans to add Physical Therapy and a Nurse Practitioner in the new year.
We thank you for your loyalty and appreciate your patience during our recent renovations. We have a few items to discuss with you. Not every topic will apply to you, but we want all of our patients to have the information they need for a happy and healthy year!
DEDUCTIBLES/INSURANCE
Most deductibles reset on January 1, 2025. We wanted to remind you of this so that you can plan accordingly. Please be prepared to pay your deductible amount.
Malory is our billing and coding coordinator. She will be re-verifying all insurances for
all patients for the new year. This will take some time, so if you know that your insurance has/will be changing, please let us know as soon as possible.
If you have a question about your insurance policy, the amount that you are paying, or any other insurance related issue, please email us or contact us with your questions. Please put “Malory-Insurance” in the subject line. She will then contact you if needed.
MEDICARE
The Medicare deductible for 2025 is going to be
$257, which will be charged as $43.00 for the first 6 visits, unless you have additional care elsewhere which is meeting this for you. Please advise us if you have questions regarding this payment.
After your deductible has been met, the coinsurance comes out to roughly $8.00 per visit. This is a payment that is owed for services rendered. Over the course of this last year, we have made tremendous efforts to make sure that each patient is being charged correctly. All Medicare patients will be responsible for their co-insurance every visit at the time of service (once deductible has been met).
It is unlawful to routinely waive copays, coinsurance, and deductibles. Providers are at risk of violating Federal Anti-Kickback Statutes, Federal False Claims Act, and state laws. (This excerpt is taken directly from Medicare website.)
This
does not apply to Medicare patients who have a supplemental insurance that covers their co-insurance. We do collect the coinsurance amount on new patients until we begin receiving payments from the secondary insurance, to be able to confirm they will pay on your visits. Any funds you have paid are then in your account as a credit that can be used for additional services or products in our office. If they do not pay, you will be responsible for the amount left after Medicare pays. If you receive a statement, and believe it to be incorrect, please
email us. Please put “Statement Question” in the subject line. We will reach out to you to answer the questions you may have.
TRICARE does NOT pay for any chiropractic services rendered outside of the VA. We are NOT in network with the VA at this time.
We are only a contracted provider for traditional Medicare. We cannot file any claims to the replacement plans offered through Humana, United Healthcare, Aetna, Blue Cross or other insurance companies. We can provide a superbill for you to file the charges and any determination of benefits will be sent to you. Because we cannot bill these insurances, you will be considered a cash patient for adjustments.
STATEMENTS
Statements for 2024 have been sent recently. If you think you may owe, please keep an eye on your mailbox. If you owe for 2024, you will be expected to either pay in full or set up a payment plan to get this balance taken care of. If you do not contact us to set up your payments, you will not be able to make an appointment with us until you have made further arrangements with us and your balance may be sent to collections.
TAX RECORDS
We know that many of you will need your records of payment for tax purposes. We can email them to you. If you would like them mailed or printed there will be a $5.00 fee. You can request these
via email.
Please put “Tax Records” in the subject line. We are able to send these in a PDF format that you can download or print at your home.
FINANCIAL POLICY
Below, you will find our financial policy. This form has been signed by you as a part of your new patient paperwork. It is always available upon request if you would like a copy for your reference. We have been lenient on this policy throughout 2024, however we cannot continue to be. This policy will be strictly adhered to in 2025. Therefore, we are adding it here for you to remind you of the policies we have in place and you have agreed to.
Dr. Monica is currently contracted with Medicare and Blue Cross Blue Shield. Please note, that you may be responsible for a deductible, co-pay, co-insurance, and any fee for services received that your insurance provider does not cover. If your insurance is provided by an alternate source, you may file with your insurance company on your own and you will be responsible for any charges acquired from services rendered.
If you are wanting to do your own filling, Dr. Monica will be happy to provide you with a statement / superbill for services rendered. Please make sure you have provided and email so that she is able to send the statement directly to you.
No Show Policy: The time of your appointment has been saved for you. We believe that quality therapies combined with consistency is the key to success. We understand that life happens and that emergencies can occur, so your first missed appointment will be waived. After the first no call/no show, you will be charged $25.00 for a missed Chiropractic appointment, or the full amount for missed massages, which is $40 for a missed ½ hour massage, and $70 for a missed 1-hour massage. This fee MUST be paid in order to obtain another appointment with us. To avoid this, please make sure you call at least 24 hours in advance to cancel your appointment. Emergencies will be handled on a case-by-case basis.
PERSONAL INJURY
Dr. Monica does not and will not be seeing any patients that are involved in a personal injury case. This includes but is not limited to car accidents or slips and falls in public places, even if you are currently an established patient with us. We will refer you out to another office for the duration of the personal injury law suit. Please let us know if you end up or are in this category as soon as possible.
ADDITION TO FINANCIAL POLICY
Please note that you will be responsible for 100% of your appointment fee if you miss an appointment or cancel without 24 hours notice. Please do your best to notify us in advance if you are unable to attend your appointment and we will gladly find time to reschedule. We appreciate your help in this matter, as it helps us maintain high service levels at the practice.
Due to the increased occurrences of same day/last minute cancellations and no shows for massages and adjustments, we will be requiring a credit card be saved on file. Fees will be charged for missed appointments, in keeping with the above financial policy, which every patient has signed as part of the new patient paperwork. The fee must be paid in order to book another appointment. As stated above, emergencies will be handled on a case-by-case basis.

Malory, if you have not met her, is Dr. Monica’s full-time assistant. Her presence has allowed the office to flow much better and has improved patient wait time and care.
Dijon &
Kinsey, are our Licensed Massage Therapists, they are ready to help you relax this year. Dr. Monica highly recommends booking soft tissue work with them. They are a huge asset to our facility and the best massage therapists in Texarkana. Set up a time a.s.a.p. with them and let them get to work on those pesky knots. Between the both of them they are certified in Muscle Release Therapy, Sports Massage, Trigger Point Therapy, Cranio-Sacral Therapy, Cupping, Gua Sha, Fascia Blasting, & Lymphatic Therapy.
Sheri, is our newest addition. Sheri was formerly a patient. She is the friendly face at the front and the voice on the phone. Sheri manages patient’s appointments and accounts, administrative duties, and plays a crucial role in ensuring smooth communication & efficient operation of our office’s schedule.
PRN Staff: Haley Griffin & Hannah McGuire, both are full time students furthering their education who help Dr. Monica & Malory as needed in between their busy schedules.
